Personal Operations Manager

Seeking a Personal Operations Manager (POM) to oversee and execute the daily administrative tasks and the long-term projects of Karen Cahn, IFundWomen CEO and Investor. The responsibilities of the POM include managing four (4) real estate properties including staffing, inventory management, renovation projects, liaising with vendors, bill payments, in addition to owning Karen’s personal and family calendar, and more. To be successful as a Personal Operations Manager, you should have excellent organizational skills, be proactive, possess a professional demeanor, be equipped with experience in project management or operations, and be able to tackle any task given to you in a timely fashion while communicating effectively. 

This role is based in Montclair, New Jersey, and is an in-person role.

RESPONSIBILITIES

  • Manage 4 homes from end to end including staff (contractors, gardeners, housekeepers, etc), inventory, maintenance, and upkeep.

  • Be the project manager for any/all renovation projects, liaising with architects, and contractors, making sure projects are moving along in a timely manner

  • Manage all deliveries, mail, returns, and errands

  • Own family calendar, ensuring that teen human has rides to activities and meals planned, as-needed

  • Manage Karen’s calendar including planning events, making appointments, scheduling staffing, etc. 

  • Uphold an extremely high standard of confidentiality and discretion

REQUIREMENTS

  • Exceptional executive functioning, time-management, and organizational skills

  • Proficient in productivity tools including Google Apps: Mail, Calendar, Slides, Sheets, Docs

  • Experienced note taker with strong written and verbal communication skills

  • A positive, can-do attitude and strong interpersonal skills

  • Top-notch problem-solving skills in order to identify issues, evaluate options and execute solutions

  • Must be discrete and maintain confidentiality

  • A car, car insurance, and a clean driving record

NICE TO HAVE’S

  • Experience working as a project manager or a personal administrative assistant

  • Ability to read contracts and flag if there are potential issues

  • Experience with home renovation projects

COMPENSATION

  • $50/hour for 25 hours/week = $1,250/week
